Shared Workspaces let you invite people from another firm into one of your workspaces. They keep their own Pirros account, their own login, and their own firm's library — but gain access to the one workspace you share with them, at a role you choose.
This is built for joint ventures and consultant collaboration: a structural engineer at another firm working your JV project can search, contribute to, and pull from the shared workspace without you provisioning them as a member of your firm.
Prerequisites
Shared Workspaces is an enterprise feature and is enabled per firm. If you don't see a Share button on your workspaces, contact your Pirros CSM to have it turned on.
You need the Invite Users permission in the workspace you want to share.
The person you're inviting must already have a Pirros account at their own firm. Pirros will not create one for them.
Share a workspace with another firm
Click the gear icon next to your initials to open Settings
Click Workspaces in the left sidebar
In the Manage shared access window, enter the person's Collaborator email and choose a Role, then click Send Invite
The role you pick is one of your firm's roles, and it controls what they can do inside this workspace only. See Roles and Permissions in Pirros for what each role allows.
Tell your collaborator — Pirros doesn't email them
Pirros does not send an invitation email for shared workspaces. Once you've added someone, let them know directly.
Here's what they do on their side:
Log into Pirros as they normally do, with their own firm's account
Click the dropdown next to their initials to open the workspace switcher
Select your shared workspace from the list — it appears with a Shared badge
From then on they switch between their own firm's workspaces and yours from the same menu, on the web and in the Revit plugin.
What collaborators can and can't do
A collaborator works inside the shared workspace at the role you gave them — but they can never gain administrative control over your firm. Firm-level permissions are stripped automatically, even if you assign them your Admin role.
They can:
Search, view, and download details and families in the shared workspace, as their role allows
Upload models and contribute content to the shared workspace, as their role allows
Edit that workspace's settings, tags, and project filters, as their role allows
Use the shared workspace from the Revit plugin, the same way they use their own
They can never:
Open your firm's settings, roles, or user list
Invite anyone else — to this workspace or to your firm
Touch your SSO or SCIM configuration
Create, edit, or archive workspaces in your firm
Manage your firm's API keys or firm-wide resource filters
See any of your other workspaces — only the ones you've shared with them
When they switch back to one of their own firm's workspaces, their normal permissions return in full.
Who owns the content, and who pays
Content stays with you. Anything a collaborator uploads to the shared workspace belongs to the workspace's owning firm — your firm. It lands in your library and stays there if the collaboration ends.
Their searches return your content. While the shared workspace is active, they're searching your firm's library, not their own.
AI credits and upgrades charge the owning firm. If a collaborator runs an upgrade or an AI-credit action in your workspace, it draws on your firm's balance, not theirs.
It doesn't use one of your user licenses. Collaborators are licensed by their own firm; sharing a workspace doesn't consume a seat in yours.
They see your firm's configuration. While your workspace is active, they see your firm's settings and enabled features.
Change a role or remove access
Go to Settings → Workspaces, find the workspace, and click Share
The members table lists everyone from outside your firm who has access, with their email and firm name
Use the Role dropdown to change what they can do, or click the delete icon to remove them
Removing someone takes effect on their very next action in Pirros — you don't have to wait for them to log out. Removing every collaborator ends the sharing arrangement for that workspace.
Frequently Asked Questions
Q: Does my collaborator need a license from us?
A: No. They're licensed by their own firm. Adding them to a shared workspace doesn't consume one of your firm's seats.
Q: Will they get an invitation email?
A: No. Pirros doesn't email collaborators about shared workspaces — the workspace simply appears in their workspace switcher the next time they log in. Let them know directly that you've shared it.
Q: What if they don't have a Pirros account yet?
A: You'll see "No Pirros account found" when you try to invite them. Shared Workspaces connects two existing Pirros firms; it can't create an account for someone whose firm isn't on Pirros. Their own firm's admin needs to set them up first.
Q: Can they see our other workspaces or our firm's users?
A: No. They only see the workspaces you've explicitly shared with them, and they can't open your firm's user list or settings at all.
Q: Can a collaborator invite other people from their firm?
A: No. Inviting users is a firm-level permission, and it's stripped from collaborators. Every person from the other firm has to be added by someone at your firm with the Invite Users permission.
Q: Can we share one workspace with more than one firm?
A: Yes. Invite collaborators from as many firms as the project needs — each one gets their own role in the workspace.
Q: Can they download our details?
A: If the role you assign includes download permissions, yes — they'll have the same access to that workspace's library as one of your own team members with that role. Pick the role with that in mind; a view-only or restricted custom role is a good fit when you want contribution without export.
Q: What happens if their firm deactivates them?
A: Their access to your shared workspace is revoked automatically when their own firm offboards them. You don't need to do anything.
Q: Can they use the shared workspace in Revit?
A: Yes. They switch workspaces in the Pirros plugin the same way they do on the web, and the shared workspace searches your firm's library.
